Agency History

The first organizational meeting of the Rotary Club of Grande Prairie was held on January 11, 1951 at the CFGP Radio Station. Sponsored by the Edmonton Rotary Club, the group formed a provisional club and applied to Rotary International for a charter, which was granted January 22, 1951. Charter members included Ferrell Swanston, Alexander H. Brown, Percy Clubine, Robert Miller, Morley Lidster, Dave Dowser, Charles Husel, William Kerr, John Duffy, Ernie Harrison, Olaf Hanson, D. W. Pratt, Charles Litman, Donald W. Patterson, Louis Kowensky, J. B. Oliver, Harry W. Archibald, Bryant D. Richards, President Arthur J. Balfour, and directors John A. Wilson, Fred T. Johnson, Thomas B. Griffith, John H. Nelson, Elmer Logan, John Lynn, and R. Harry Watcher. Women were not admitted to Rotary Club membership in Canada until 1988. Bobbi Lambright appears to have been the first female member of the Grande Prairie Rotary Club, joining in 1991.

Rotary International, to which the local Club pays dues, was founded in 1905 by Paul Harris, a Chicago attorney. Rotary has a strong commitment to service, as evidenced in its official mottos: “Service Above Self” and “One Profits Most Who Serves Best”. Rotary members and clubs are encouraged to use the four-way test: “Is it the TRUTH?” “Is it FAIR to all concerned?” “Will it build GOODWILL and BETTER FRIENDSHIPS?” “Will it be BENEFICIAL to all concerned?” and to pursue service in five avenues: Club Service, Vocational Service, Community Service, International Service, and Youth Service.

When it was first organized, the Rotary Club of Grande Prairie was part of District 536. District 536 was renumbered in 1991, becoming District 5360. In 1998, the District was split in two, with clubs north of Ponoka becoming part of the new district 5370. At the present time, the Rotary Club of Grande Prairie is part of Area 12 of District 5370. The Districts are further grouped into Zones, with District 5370 being part of Zone 24, which includes Canada, Eastern Russia, and parts of the United States, including Alaska. Rotary International is led by the International President, every two zones are led by a Director, each District is led by a Governor, and each club is led by a local President.

As part of providing service to the local community, the Rotary Club of Grande Prairie has funded and participated in numerous projects and programs, including the building of the Golden Age Centre (1973, 1984 addition), the Legion track near Grande Prairie Composite High School (1982), Hillside School grounds Change/Dressing room (1995), Skateboard Park (1997-98), Grande Prairie Regional College distance learning equipment (2000), Salvation Army Soup Kitchen re-model and Wapiti Community Dorm upgrade (1998), Muskoseepi Park playground equipment (1998), PARDS hay barn upgrade (2000), Rotary House/Wapiti Community Dorm Society (2005), Grande Prairie Public Library community meeting room (2008), QEII Hospital helipad (2008), Sunrise House (2008), Odyssey House, Clairmont School Playground, Lawn Bowling Centre, Smith Field Soccer facility, Grande Prairie French School Playground, Grande Prairie Multi-Plex, and various other local organizations. The Club’s longest-standing project is sponsorship of the Grande Prairie Air Cadets 577 Squadron, which it first undertook in 1953.

The Rotary Club of Grande Prairie has also operated the municipal campground on the Bear Creek Reservoir since the 1970s and provided several campground upgrades and renovations. The Club also runs a bus tour of Grande Prairie for tourists. The City’s annual Clean-a-Thons/Green-a-Thons have also been run by Rotary since 1973.

The Rotary Club of Grande Prairie’s overseas projects have included participation in the Polio Plus Campaign and Operation Eyesight, funding a hospital in Belize, a Bolivia school/dormitory project, and a Guatemala Literacy Project, and purchasing used vehicles (buses, fire trucks, handi-vans, ambulances, etc.) and driving them to Mexico.

In order to have the financial backing to support their various local and overseas projects, the Rotary Club of Grande Prairie has engaged in numerous fundraising ventures, including selling birthday and anniversary calendars (up to the early 1970s), selling Rotary cookbooks, running a snack bar at the County Fairgrounds (before the grounds moved to Evergreen Park), running bingos and casinos, partnering in the Great Peace Country Duck Race from 1993 to 2007, and partnering in the Dream Home Lottery.

The club also participates in various social and networking events, including banquets, barbeques, bonspiels, and conferences, and meets weekly. The Club has met in various locations over the years, including the York Hotel, Joe’s Corner Coffee Shop, the Golden Star Restaurant, the Grande Prairie Inn, and the Quality (now the Paradise) Inn.

The Club has been involved with Rotary International and other Rotary clubs in a variety of ways over the years. In 1958 and 2012, they hosted District Conventions. The Club became involved with the International Youth Exchange program in 1974-75 and has hosted an exchange student nearly every year since. The Club has also been involved with the Group Study Exchange program since 1975. The Club participates in the Rotary Ball Tournament with other local Rotary clubs and has done so since 1992.

The Rotary Club of Grande Prairie has also been involved in sponsoring other fledgling clubs, including the Rotary Club of Fort St. John (1963), Swan City Rotary Club (1986), Rotaract Club of Grande Prairie (2001), Rotary Club of Grande Cache (2008), Interact Club of Sexsmith (2009), Grande Prairie After Five Club (2012), Grande Prairie Composite High School Interact Club, and Rotary E-Club of Canada One (2013).

Custodial History

Paper copies of Rotary photographs (1958-1959) were donated to South Peace Regional Archives in October 2010 by Ella Simpson. An accrual was made in February 2011 with records including minutes and agendas, financial records, correspondence, DVDs, and photograph albums, brought in by Bob Wallace, Trenton Perrott, and Karen Munjak. Several boxes of records had been stored at the Rotary Campground near Bear Creek and were badly affected by mould. Further accruals were made in April and October 2012 with roster books, photographs, and membership cards donated by Bob Wallace. The membership cards had been found in a back room of the hotel where the Rotary Club meets.

Scope and Content

The fonds consists of records created and received by the Rotary Club of Grande Prairie in the course of their operations and activities. The records include minutes and reports, planning documents, correspondence, committee minutes and planning materials, membership lists, rosters, and cards, financial statements and general ledger, newsletters and publications, photographs, newspaper clippings, and Rotary International manuals and booklets.

The fonds is divided into seven series: Executive Records, Committees, Membership, Financial Records, Publications, Photographs and Scrapbooks, and Rotary International.

Conservation: Some of the records, particularly in the Photographs and Scrapbooks series, have been badly affected by mould. Some records or parts of records were reformatted by the Archivist and the originals discarded as unsalvageable.

Series 601.01 Executive Records series. — 1951-2005. — 23.5 cm of textual records.The series consists of records relating to the executive operations of the Rotary Club of Grande Prairie. The records include a copy of the Societies Act application and Club bylaws (1981), minutes and associated records, and correspondence. The minutes include the Minutes of Organizational meeting (January 11, 1951) and Board of Directors’ Minutes and General meeting minutes (October 1986- June 1991, June 1996-October 1998, June 1999-August 2000, March 2004, August 2004, October 2005). Where the actual minutes are no available, agendas and rough meeting notes have been retained. The attachments to minutes and associated records include a sample constitution, club manuals, financial reports, lists of funds disbursed, committee reports, attendance summaries and reports, semi-annual reports, committee and board lists and organizational charts, member and proposed member profiles and information, calendars, club bulletins, event planning documents, campground plans, and summaries of club plans and objectives. Minutes from later years tend to have fewer attachments and associated records. Correspondence (1951-ca. 1978, 1987-1991,1996-2000) is both incoming and outgoing on various topics, including orders and products, attendance competitions and reports, events and invitations, speakers, projects and donations, reports and greetings from other clubs, requests of leave and resignation, honourary members and Paul Harris Fellows, travelling members, District news and plans, and Rotary International programs, policies, and newsletters. Early Club records were originally contained in a series of scrapbooks (ca. 1951-1978) together with photographs and newspaper clippings. These Club records were removed and sorted into series by topic by the Archivist. Many of these early records were badly affected by mould and are still physically segregated. The later executive records (1986-2000) were originally housed in several binders. In general, the minutes were in reverse chronological order within each binder. For the most part, order has been maintained or restored by Archivist. Occasionally the time periods covered by two binders overlapped and the records were combined by the Archivist. The 2004-2005 minutes removed from financial records and kept by the Archivist (in the absence of official minutes from these years).

Series 601.02 Committees series. — [ca. 2002]-2008. — 1 cm of textual records.The series consists of records relating to committees of the Rotary Club of Grande Prairie. The series contains records of the History Committee, including minutes (2002-03), an agenda (2006), a list of historical information to include in an anthology, correspondence, questionnaires and responses from past presidents, a 2000-01 organizational chart, and newspaper clippings (1973). The series also contains the records of the 2008 Rotary District 5360/5370 Bonspiel from 2007-2008, including a committee list, correspondence, a budget, a program, the round robin schedule, notes, a list of donations, a list of competing teams, committee responsibilities, a planning sheet, the registration package, and minutes. The records were originally housed in separate folders and the internal order has been maintained by the Archivist.

Series 601.03 Membership series. — 1951-2002. — 29 cm of textual records.The series consists of records related to gathering, tracking, and distributing information on the members of the Rotary Club of Grande Prairie, including a list of charter members (1951), various types of rosters and lists (1951-1970), published rosters (1975-2002), club member lists from Rotary International for semi-annual reports (various years 1967-1979), committee lists (1969-70, 1974-75), a 1957 request for membership cards, and membership tracking cards (1951-1990). The miscellaneous rosters and lists (various years 1951-1970) provide such information as member’s name, address, phone number, date of birth, anniversary date, wife’s name, classification, business, position, election date to Rotary. The published rosters (1975-2002) contain general information about Rotary, an events calendar, a bingo schedule, a list of other Rotary meetings in District, lists of club executive and committees, past presidents, Paul Harris Fellows/Sustaining Members, Honorary Members, and Rotary Foundation Benefactors, and information on individual members including name, spouse’s name, classification, business name, home address, and home and business phone numbers. The membership tracking cards collected information including name, type of membership, classification, firm’s name, position, business and residential addresses and phone numbers, date of birth, previous Rotary memberships and involvement, date of application, record of action on proposal, and occasionally wife’s name, anniversary date, and children’s names and birthdates. The cards are of several kinds (Cards for Notification of Rotarian Moving to Your Locality; Membership Proposal; Membership Application; Reporting New Member; Change of Address, Classification or Kind of Membership; Report of Membership Terminated). Early membership records were originally contained in a series of scrapbooks (ca. 1951-1979) together with photographs and newspaper clippings. These Club records were removed and sorted into series by topic by the Archivist. Many of these early records were badly affected by mould and are still physically segregated. The membership tracking cards were originally housed in a card catalogue box and were arranged in essentially alphabetical order within a few divisions: Active Members, Past Members, Active Proposals, Declined Proposals, and [Miscellaneous]. This order has been maintained.

Series 601.04 Financial Records series. — 1951-2007. — 9 cm of textual records.The series consists of records relating to the financial administration of the Rotary Club of Grande Prairie. The records include statements of receipts and disbursements (1951-1959, 1961-1967), financial statements (2003, 2006), the General Ledger (2003-2007) covering various funds and accounts, associated financial records, and campsite financial records. Additional financial records may be found in the Executive Records series as attachments to the minutes. The associated financial records include cancelled cheques and statements of account from Joe’s Corner Coffee Shop, Golden Star, and York Hotel for meeting and event expenses, financial statements for specific projects and events, an application and licence for raffle (1974), a budget (1977-1978), Trial Balance and account reports, a donation list, GST reconciliation, reports from the Air Cadet squadron and Community Foundation, Bingo and Casino Account information, a Wild Rose Foundation grant application and report, information about the Memorial Fund, and Semi-Annual Reports to Rotary International. The campsite financial records include the General Ledger and Trial Balance (2005), a mixture of General Ledger Reports/Balance Sheets/Income Statements (2005-2006), a business plan (2005), an income statement (2004), accounts (1995-2002), and Capital Expansion Committee and Rotary Campground Project Committee records. Early financial records were originally contained in a series of scrapbooks (ca. 1951-1978) together with photographs and newspaper clippings. These Club records were removed and sorted into series by topic by the Archivist. Many of these early records were badly affected by mould and are still physically segregated. Later financial records (2003-2007) were originally housed in a series of boxes created for each year’s end and contained a large quantity of records, many of which were discarded in favour of the General Ledger and Financial Statements for the given year. The campsite financial records were spread over various files in each year end’s box and were grouped in one file by the Archivist. Numerous transitory campsite financial records were also discarded.

Series 601.05 Publications series. — 1975-2008. — 0.5 cm of textual records.The series consists of publications produced by the Rotary Club of Grande Prairie. These publications include sporadic issues of newsletters, “Rota News”, and “Bulletins” from 1975, 1978, 1982, 2004, 2005, and 2006 containing news, meeting reports, news announcements, executive and committee lists, awards, messages from the President, events calendars, birthday and anniversary dates, updates from exchange students, and information on new members. The series also includes a 2007-2008 Yearbook which features a photograph directory of members, reports, and highlights of the year. The early newsletters and “Rota News” (1975, 1978, 1982) were originally housed in a series of scrapbooks along with photographs and newspaper clippings. These Club records were removed and sorted into series by topic by the Archivist. Many of these early records were badly affected by mould and are still physically segregated. Later newsletters and the yearbook were found amongst other records and artificially gathered to this series by the Archivist. Other Rotary Club of Grande Prairie “Bulletins” can be found in their original positions in the Executive Records series.

Series 601.06 Photographs and Scrapbooks. — 1939-2009. — 1.5 cm of textual records. — 823 photographs. — 202 negatives.The series consists of photographs and scrapbook material created and collected by the Rotary Club of Grande Prairie. The first group of photographs (601.06.001-.012) and their associated correspondence appear to have been collected ca. 1978-1979 to write a club history. The letters are from early Rotarians (particularly charter members and former Presidents) and relate their experiences in the Rotary Club of Grande Prairie and other biographical details. The second group of photographs (601.06.013-.916) and newspaper articles are arranged in roughly chronological order and show events and projects the Club was involved with, including conventions, District Governor’s visits, Prime Minister’s visit, new member initiation night, Farmer’s Nite, Halloween Masquerades, Christmas Parties, Kids’ Christmas Parties, Crazy Auctions, a Rotary Foundation banquet, 40th and 50th Anniversary celebrations, changeovers, luncheon meetings, Radio Day, ball and curling tournaments, exchange students (arriving, at events, departing), Group Study Exchanges and visiting Rotarians, Cleanathons and Green-a-Thons, Rotary Bus Tour, seniors’ barbeques, Great Peace Country Duck Races, bingo, Air Cadets, campground (including clean ups and renovations), cheque presentations, projects, the Muskoseepi Playground, the Skatepark, and the PARDS Barn and executives from various years. The third group of photographs (601.06.917-.946) includes portraits of Rotary International founder, Paul Harris, and local Paul Harris Fellows, including Bill Bowes, Bill Beattie, Hugh Impey, Euphemia McNaught, and Dave Wylie. The earliest material was originally housed in a series of scrapbooks (ca. 1951-1978) together with other early club records, which have been removed to other series. These earliest records were badly affected by mould and are still physically segregated from the rest of the series. The other photographs and clippings were removed from a larger series of photograph albums and scrapbooks and arranged by the Archivist. Only a selection of photographs have been retained. The newspaper clippings have been photocopied for preservation purposes and the originals discarded.
